This Privacy Policy explains how HaulDesk Inc. ("we", "us", or "our") collects, uses, and protects information when you use the BaySync web and mobile applications (the "Service").BaySync is workplace software for auto repair shops. Accounts are created and managed by the shop ("your employer") that subscribes to the Service. If you are an employee, your employer is responsible for the information they enter about you and for managing your account.

1. Information We Collect

We collect the following categories of information so the Service can function:
  • Account and profile information — your name, email address, and (if provided) phone number, profile photo, and assigned role within your shop.
  • Work content — repair orders, vehicle records, inspection notes, and photos or documents you attach to a job.
  • Time and attendance — clock-in and clock-out times. When your shop requires location-verified clock-in, we collect your device location at the moment you clock in or out to confirm you are at an approved worksite. Location is collected only at that moment and only while you are using the app; we do not track your location in the background.
  • Device information for notifications — if you enable notifications, a device token used to deliver work-related push notifications.
  • Error reports and diagnostics — when the mobile app encounters a crash or error, we automatically collect error messages, stack traces, device type, app version, and OS version to diagnose and fix issues. This helps us improve app stability.

2. How We Use Information

We use the information we collect only to operate and support the Service, including to:
  • Provide core features such as work orders, vehicle history, inspections, and time tracking.
  • Verify location-based clock-in when your shop has enabled that requirement.
  • Send work-related notifications you have opted into.
  • Maintain the security of the Service and respond to support requests.
  • Diagnose crashes, errors, and performance issues in the mobile app to improve stability and user experience.

3. Error Reporting and Diagnostics

The BaySync mobile app uses Sentry, a third-party error tracking service, to automatically collect and analyze crash reports and error information. When the app crashes or encounters an error, Sentry receives error messages, stack traces, your device type, operating system version, app version, and a timestamp of when the error occurred.This data is used solely to diagnose problems and improve app stability. Error reports do not include your work data, location history, photos, or personal information. If you have concerns about error reporting, you can contact us at support@baysync.ca.

4. How We Share Information

We do not sell your personal information, and we do not use it for advertising or cross-app tracking.Your information is visible to authorized users within your own shop according to their role and permissions. We share information with service providers that host our infrastructure and deliver notifications, only as needed to operate the Service and under obligations to protect it. We may also disclose information where required by law.

5. Data Storage and Security

Information is stored on secure, access-controlled cloud infrastructure. Access is restricted through authentication, and each shop’s data is isolated so that users can only access information belonging to their own shop. We apply reasonable technical and organizational measures to protect your information, though no method of transmission or storage is completely secure.

6. Data Retention and Deletion

We retain information for as long as your account is active or as needed to provide the Service. Because accounts are managed by your shop, account and data deletion is handled through your shop administrator or by contacting us. 7. Your Choices

You can decline or revoke camera, photo, location, and notification permissions at any time in your device settings; some features may not work without them. You may request access to, correction of, or deletion of your information as described below.

8. Children's Privacy

The Service is intended for use by businesses and their employees and is not directed to children under 13. We do not knowingly collect information from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
